Camera Ready Guidelines

Follow these guidelines carefully to ensure your paper meets all IEEE requirements for publication

  1. In the camera-ready version, you must include the authors' names, full affiliations, and email addresses. Do not use titles such as Prof., Dr., Mr., or Ms. with the authors' names. The final camera-ready version must not exceed 6 pages , including all figures, tables, and references. The template is available at the following link: Conference Template Link.
  2. Please ensure that all reviewers' comments are addressed in the camera-ready version of your paper. The comments can be found in your QPAIN 2026 MyProConf Author Portal.
  3. You must ensure that in the camera-ready version of the paper the overall similarity index is less than 25% (including bibliography) and a single source similarity index is less than 4%. Authors must follow this guideline strictly. Otherwise, the paper may not be considered for publication at IEEE Xplore.
  4. You must include the following information on the first page of your paper (already included in the QPAIN conference template):
    • Header (left-justified):
      2026 International Conference on Quantum Photonics, Artificial Intelligence, and Networking (QPAIN)
      16-18 April 2026, Rangpur, Bangladesh
      Font: Times New Roman, Size: 8.
    • Footer (left-justified):

  5. You need to create a .pdf version of your paper using IEEE PDF eXpress.
    PDF Instructions for Authors:
    1. Go to https://ieee-pdf-express.org
    2. Create an Account / Log In:
      1. First-time users:
        • Select the New Users - Click Here and Enter the following:
          1. 66474X for the Conference ID
          2. Your email address
          3. A password
      2. Existing users can log in directly and enter 66474X for the Conference ID
    3. Upload and Validate Your Paper:

      You have two options:

      1. Option 1: Upload a PDF
        1. Upload your own PDF file to check if it is IEEE Xplore-compatible.
        2. If errors are found, you will receive a report and need to fix them before re-uploading.
      2. Option 2: Upload Source File
        1. Upload your Word (.doc/.docx) or LaTeX files (ZIP with .tex, .cls, .bib, etc.).
        2. PDF eXpress will generate an IEEE-compliant PDF for you.
    4. Download the Certified PDF:
      • After a successful check/conversion, download the final PDF file.
      • This certified PDF is the only version that will be accepted as your final camera-ready paper for submission to the conference.
    5. An online confirmation will be displayed and an email confirmation will be sent verifying your account setup.
  6. You must attach a screenshot of the email you received from IEEE PDF eXpress as proof of the PDF file creation. The screenshot must be saved as a PDF file named in the format PaperID_IEEE PDF eXpress Check.pdf.
    Example: 701_IEEE PDF eXpress Check.pdf
  7. You need to combine all the following files in a single .zip file named PaperID.zip.
    Example: 701.zip
    • PDF version of your camera-ready paper from IEEE PDF eXpress, named PaperID_Camera ready.pdf (e.g., 701_Camera ready.pdf)
    • Camera-ready version of your paper in .docx or LaTeX format. For LaTeX, combine all files in a single .zip file. (e.g., 701_Source File.docx or 701_Source File.zip)
    • Proof of IEEE PDF eXpress Check in PDF format (e.g., 701_IEEE PDF eXpress Check.pdf)
  8. After login as the author (must be corresponding author) at https://myproconf.com/events/app/index.php?url=qpain-2026 to upload the PaperID.zip file (see previous instruction) by clicking the Camera-Ready Submission option.
  9. Lastly, do not forget to submit the copyright form, which has already been added to your author portal.
    1. Click on Copyright Submission
    2. Click to Download E-Copyright Form, complete all procedures, sign, and submit it.

IEEE strictly prohibits adding new co-authors after a paper has been accepted and is in the camera-ready submission stage. This is part of their ethical standards to ensure the integrity of the submission process. It must be done before the initial submission deadline if you need to add a co-author.

If a co-author is added after acceptance, IEEE may:

  • Reject the paper entirely.
  • Ban all authors listed on the paper from submitting to future IEEE conferences.
  • Potentially escalate the issue to other IEEE conferences and journals.

In rare cases, such as when an author was unintentionally missed due to a rush to meet the deadline (e.g., students submitting the paper without the supervisor's name), the corresponding author must immediately send a mail to us and contact the Conference Chair.

If the reason is found valid, the organizing committee may grant special permission to add a co-author in Qpain.
